1. Introduction

This Privacy Policy explains how Narasystem LLC (“Company,” “we,” “us,” or “our”) collects, uses, stores, shares, and protects information when you use VetNara, including our website, mobile application, and related services.

VetNara provides pet-care information tools, including AI-powered pet guidance, pet photo analysis, pet profile management, pet medical record organization, nearby veterinarian search, community features, booking-related features, and related services.

Important: VetNara is for informational and organizational purposes only. VetNara is not a substitute for professional veterinary care, diagnosis, or treatment.

By using VetNara, you agree to the collection and use of information as described in this Privacy Policy.

2. Definitions

“Application” or “App” means the VetNara mobile application, website, and related services.

“Company,” “we,” “us,” or “our” means Narasystem LLC.

“Service” means VetNara.

“User,” “you,” or “your” means the person using VetNara.

“Personal Data” means information that identifies or can reasonably identify an individual.

“Pet Data” means information you provide about your pet, such as name, breed, species, age, photos, health notes, food records, medications, vaccines, vet contacts, documents, and related care information.

“AI Services” means third-party or internal artificial intelligence services used to provide chat, image analysis, document extraction, profile image generation, memory features, and related functionality.

3. Information We Collect

3.1 Account Information

When you create or use an account, we may collect:

  • Email address
  • Display name
  • Profile or avatar image
  • Login provider information, such as Google or Yahoo authentication information
  • Password information if you use email and password login
  • Email verification and password reset information
  • Preferred language
  • Account settings
  • Consent records, including privacy, AI consent, and veterinary disclaimer acceptance

3.2 Pet Profile and Pet Care Information

When you create or update pet profiles, we may collect:

  • Pet name
  • Species, breed, color, markings, sex, age, and other basic profile details
  • Pet profile photos
  • AI-generated pet profile portraits
  • Health summary
  • Lifestyle notes
  • Food and diet records, including brand, product, type, description, amount consumed, current status, role, package size, price, purchase location, and food-label images
  • Medical events
  • Medications
  • Vaccines and preventive care
  • Vet contacts
  • Vet bills, vaccine records, medication photos, business cards, and other pet-related documents
  • Notes and uploaded files related to pet care

3.3 Photos, Images, and Documents

You may upload pet photos, symptom photos, Pet Scan images, pet profile images, food package or food label images, medical record images, medication label photos, vaccine records, vet bills, vet business cards, and other pet-care documents.

We use these uploads to provide features such as Pet Scan, AI analysis, pet profile creation, AI-generated profile portraits, medical record extraction, and document organization.

3.4 Chat, Pet Scan, and AI Interaction Data

When you use Ask VetNara, Pet Scan, or other AI features, we may collect:

  • Questions you type
  • Chat messages
  • Uploaded images used in chat or scan
  • AI-generated responses
  • Conversation history
  • Conversation titles and previews
  • Follow-up questions and responses
  • Selected pet context if you choose to ask about a specific pet
  • Language selected for the response

3.5 Location Information

VetNara may collect location information when you use features such as “Find nearby vets.” This may include browser or device location if you allow it, manually entered location, geocoded location information, nearby veterinarian search results, distance information, and Google Maps, Places, or Geocoding-related data.

You can choose not to provide location access, but some location-based features may not work or may require manual location entry.

3.6 Community Content

If you use VetNara’s community features, we may collect posts, comments, images attached to posts or comments, tags, votes, reports, community membership information, shared community links, and moderation actions where applicable.

Community posts and comments may be visible to other users or publicly accessible if shared through public links.

3.7 Booking and Partner Service Information

If you use booking-related features, we may collect selected pet, selected service, appointment date and time, provider, location, staff, service information, booking status, booking reference number, cancellation or refresh actions, and partner invite or linking information.

Some booking information may be exchanged with partner service providers to create, update, confirm, cancel, or display appointments.

3.8 Notifications and Device Information

If you allow notifications, we may collect iOS APNs device tokens, device platform, APNs environment, notification status, unread notification count, booking-status notification information, community reply notification information, and custom notification information.

3.9 Usage Data and Technical Information

We may automatically collect information such as IP address, browser type and version, device type, operating system, app version, pages or features used, date and time of access, session and cookie identifiers, error logs, diagnostic data, and security or fraud-prevention information.

4. How We Use Information

We use collected information to:

  • Provide and maintain VetNara
  • Create and manage user accounts
  • Authenticate users
  • Provide Ask VetNara and Pet Scan features
  • Analyze pet photos and pet-related documents
  • Create and manage pet profiles
  • Store pet medical records and pet care history
  • Generate AI pet profile portraits
  • Provide nearby veterinarian search and maps
  • Provide community features
  • Provide booking and partner-service features
  • Send verification emails, password reset emails, transfer invitations, notifications, and service messages
  • Send push notifications if enabled
  • Remember language preferences
  • Maintain conversation history for logged-in users
  • Provide one-time post-login greeting and rolling memory features
  • Enforce privacy and AI consent requirements
  • Improve, secure, debug, and operate the Service
  • Prevent abuse, fraud, unauthorized access, or misuse
  • Comply with legal obligations
  • Respond to support requests

6. AI Processing and Consent

VetNara uses AI features to provide pet-care information, image analysis, document extraction, profile assistance, and other intelligent features.

AI processing may involve sending your question, chat context, selected pet context, image, or document content to AI Services. AI may be used to classify Pet Scan images, extract information from pet documents, generate pet profile summaries or profile images, and provide informational pet-care guidance.

For authenticated AI features, VetNara may require current AI/privacy consent before protected AI processing. If consent is missing, revoked, or outdated, AI features may be blocked until consent is accepted.

You may be able to review or revoke AI consent in Settings. If AI consent is revoked, some AI-powered features may no longer be available.

AI accuracy notice: AI-generated content may be inaccurate, incomplete, or inappropriate for your pet’s situation. You should use AI guidance as general information only and consult a licensed veterinarian for medical concerns.

7. Veterinary and Health Information Disclaimer

VetNara may process information about your pet’s health, symptoms, medication history, vaccines, care records, and related documents. This information is used to help organize pet care and provide informational guidance.

VetNara does not provide veterinary diagnosis, replace a licensed veterinarian, provide emergency veterinary services, guarantee the accuracy of AI-generated guidance, provide prescription medication purchase links, or provide medication dosing instructions.

For emergencies, severe symptoms, or urgent concerns, you should contact a licensed veterinarian or emergency animal hospital immediately.

VetNara is designed for pet-related information. You should not upload human medical records, government identification documents, financial documents, or other unnecessary sensitive personal information.

8. How We Share Information

8.1 With Service Providers

We may share information with vendors and service providers who help us operate VetNara, such as hosting providers, database and storage providers, email delivery providers, authentication providers, AI service providers, map and geocoding providers, push notification providers, analytics, logging, security, or monitoring providers, and payment or billing providers if added in the future.

8.2 With AI Service Providers

When you use AI features, relevant content may be sent to AI service providers for processing. This may include pet information, user questions, uploaded images, documents, and limited context needed to generate a response or extract structured information.

8.3 With Map and Location Providers

When you use vet finder or map features, location or search information may be processed by Google Maps, Google Places, Geocoding, or similar providers.

8.4 With Partner Service Providers

If you use booking or partner-service features, we may share necessary booking information with the selected partner provider, such as pet selection, appointment time, service choice, customer information, and booking status.

8.5 With Other Users or the Public

Information may be visible to others when you post in the community, comment on community posts, upload community images, share a conversation through a public share link, share a community post through a public share link, or enable public Pet ID or public medical sharing.

Public links may be accessible by anyone who has the link. You should only share links with people you trust.

8.6 Legal, Safety, and Business Purposes

We may disclose information when necessary to comply with applicable law, respond to lawful requests, enforce our terms and policies, protect rights and safety, investigate fraud or security issues, or complete a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction.

Current advertising/tracking statement: In the current version of VetNara, we do not sell personal information, we do not use third-party advertising SDKs, and we do not track users across third-party apps or websites for advertising. If this changes in a future version, we will update this Privacy Policy and related app disclosures.

9. Cookies and Similar Technologies

VetNara may use cookies, local storage, session storage, and similar technologies to keep you signed in, remember session preferences, store language preference during a browser session, support guest usage limits, support guest activity claim after login, improve security, and maintain app functionality.

You can control cookies through your browser settings, but disabling cookies may affect app functionality.

10. Data Retention

We retain information for as long as needed to provide VetNara, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and improve the Service.

Examples include:

  • Account information is retained while your account remains active.
  • Pet profiles and pet records are retained while your account remains active unless deleted or otherwise removed through available tools.
  • Archived pets may remain readable and are not automatically deleted.
  • Conversation history is retained for logged-in users unless deleted or subject to account deletion.
  • Guest activity may be stored separately and may be imported into your account if you log in from the same guest session.
  • Consent records may be retained to show compliance with privacy, AI consent, and veterinary disclaimer requirements.
  • Logs and usage data may be retained for security, debugging, analytics, and legal compliance.

Where required by applicable law, we will delete or de-identify personal information when it is no longer necessary for the purposes for which it was collected, unless retention is required or permitted by law.

11. Your Choices and Rights

Depending on your location, you may have rights to:

  • Access personal information we hold about you
  • Correct inaccurate information
  • Delete certain information
  • Request account deletion
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent
  • Revoke AI consent
  • Disable public sharing links
  • Change default public medical sharing settings
  • Disable notifications through your device settings

12. Account Deletion

You may request deletion of your account through the app or by contacting us.

When an account deletion request is processed, we will delete or de-identify personal information where required, unless we need to retain certain information for legal, security, fraud-prevention, dispute-resolution, or legitimate business reasons.

Some information may remain if it was shared publicly or with other users, is part of legal or security logs, must be retained for compliance, exists in backups until backup rotation completes, or is necessary to complete an existing booking, support request, or legal obligation.

13. Public Sharing Controls

VetNara may allow users to create public sharing links for Ask VetNara conversations, Pet Scan conversations, community posts, public Pet ID cards, and public medical record access.

Public links may be accessible by anyone who has the link. Where available, you may disable or revoke public sharing links. Disabled or revoked links should no longer display the shared content.

14. International Data Transfers

Your information may be processed and stored in countries other than where you live, including the United States and other countries where we or our service providers operate.

These countries may have data protection laws that differ from those in your location. Where required by applicable law, we use appropriate safeguards for international transfers, such as contractual protections, Standard Contractual Clauses, or other lawful transfer mechanisms.

15. Security

We use reasonable administrative, technical, and organizational measures to protect information.

However, no method of transmission over the Internet or electronic storage is 100% secure. We cannot guarantee absolute security.

You are responsible for maintaining the confidentiality of your account credentials and for limiting access to your device.

16. Children’s Privacy

VetNara is not intended for children under 13 years old.

We do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to us, please contact us and we will take appropriate steps to remove the information.

If your country requires a higher minimum age or parental consent, you must comply with those requirements before using VetNara.

18. Regional Privacy Notices

The following regional notices supplement the rest of this Privacy Policy. If a regional notice gives you additional rights under applicable law, those rights apply to you if you are located in that region.

18.1 United States and California Privacy Notice

If you are located in the United States, including California, you may have additional privacy rights under applicable state privacy laws.

  • Delete personal information
  • Correct inaccurate personal information
  • Opt out of sale or sharing of personal information, if applicable
  • Limit use and disclosure of sensitive personal information, if applicable
  • Not be discriminated against for exercising privacy rights

We do not sell personal information. In the current version of VetNara, we do not share personal information for cross-context behavioral advertising.

18.2 European Economic Area and United Kingdom Privacy Notice

If you are located in the European Economic Area or United Kingdom, you may have additional rights under the GDPR, UK GDPR, and related data protection laws.

Subject to applicable law, you may have the right to access, correct, delete, restrict, or object to processing of your personal data, request portability of your personal data, and withdraw consent where processing is based on consent.

You may also have the right to lodge a complaint with your local data protection authority. If you are located in the United Kingdom, this may include the UK Information Commissioner’s Office. If you are located in the EEA, this may include the data protection authority in your country or region.

We may transfer personal data outside the EEA or UK, including to the United States and countries where our service providers operate. Where required, we use appropriate transfer safeguards, such as Standard Contractual Clauses or other lawful transfer mechanisms.

If we are required to appoint an EU or UK representative or Data Protection Officer, we will publish the relevant contact details in this Privacy Policy or another appropriate notice.

18.3 Hong Kong Privacy Notice

If you are located in Hong Kong, you may have rights under the Personal Data (Privacy) Ordinance and related requirements.

We collect and use personal data for the purposes described in this Privacy Policy. We will take reasonably practicable steps to ensure that personal data is accurate for the purposes for which it is used and is not kept longer than necessary, unless retention is required or permitted by law.

We collect and use personal information for the purposes described in this Privacy Policy, including account operation, AI-powered features, pet profile management, location-based vet finder features, notifications, community features, booking features, security, and support.

Subject to applicable law, you may request access, correction, deletion, suspension of processing, or withdrawal of consent for your personal information.

We may entrust processing of personal information to service providers, including hosting, storage, authentication, AI, map, notification, email, analytics, and booking service providers. We may also transfer information outside South Korea to countries where our service providers operate, including the United States.

We retain personal information only for as long as necessary for the purposes described in this Privacy Policy, unless a longer retention period is required or permitted by law.

19. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

When we update the Privacy Policy, we will change the “Last updated” date above. We may also provide notice through the app, website, email, or other appropriate methods when required.

You should review this Privacy Policy periodically. Continued use of VetNara after an updated Privacy Policy becomes effective means you accept the updated policy.
